Procedures for Records Destruction

Documents created by the University cannot be destroyed unless their disposal is provided for in

which is part of the Administrative Procedure 20-4: http://web5.uottawa.ca/admingov/procedure_20-4.html or they have been examined in advance by the University Chief Archivist.

We recommand that you shred all the records that your unit does not send to Archives. When that time comes, contact the Transport Service (extension #2222). They will pick up boxed of records to be shredded.

When the records retention period has expired, you will receive a letter indicating the expiry and destruction date for semi-active records stored at the Archives. All documents are shredded.

We retain only certain records (5 to 10% of the records stored) which allow us to retrace your unit's or the University's history in general. These historical documents are carefully selected among semi-active records that you send us.
